Terms of Service
Last updated: 21 October 2026
These terms apply to clinics and their staff who use Clinexa, the clinic management software at app.clinexa.biz. By using Clinexa you agree to them.
The service
Clinexa lets a clinic keep patient records, manage appointments, billing and stock, and message patients and enquiries on WhatsApp, Facebook Messenger and Instagram from one place. We may improve or change features over time.
Accounts
- The clinic creates accounts for its own staff and decides what each role can see and do.
- Keep passwords private. The clinic is responsible for activity under its accounts.
The clinic's responsibilities
- The clinic owns the data it puts into Clinexa and is responsible for having the right to collect and use it, including patients' consent where required.
- Messages sent through Clinexa must follow the WhatsApp Business, Messenger and Instagram policies — for example, only messaging people who contacted the clinic or agreed to hear from it, and no spam.
- Clinexa supports clinical work but does not replace professional judgement. Clinicians remain responsible for diagnosis and treatment.
Acceptable use
Do not use Clinexa to break the law, send unsolicited bulk messages, access another clinic's data, or interfere with the service.
Connected Meta accounts
When a clinic connects its WhatsApp number, Facebook Page or Instagram account, Clinexa receives and sends messages for that account only, as described in our Privacy Policy. The clinic can disconnect at any time from Clinexa settings or from its Meta account.
Fees
Clinics pay the subscription agreed with Clinexa. Messaging charges set by Meta for WhatsApp conversations are billed to the clinic's own WhatsApp account.
Ending use
A clinic can stop using Clinexa at any time and ask for an export of its data. We may suspend an account that breaks these terms. After a clinic leaves, its data is deleted as described in the Privacy Policy.
Liability
We work to keep Clinexa available and accurate but provide it "as is". To the extent the law allows, we are not liable for indirect losses or for losses caused by outages of third-party services such as Meta or internet providers.
Changes
If we change these terms we will update this page and the date above.
